Assisting Hands Home Care is expanding in Baltimore County and seeking a Homecare Coordinator / Scheduler to support daily office operations. This hands-on role combines office coordination, caregiver support, scheduling, and occasional CNA shift coverage in a fast-growing start-up environment.
The Homecare Coordinator / Scheduler helps keep the office running smoothly by supporting caregivers and clients, assisting with scheduling, recruiting and onboarding, ensuring compliance with policies and state regulations, and partnering with ownership on operational improvements as the agency grows.
Prior experience in home care, home health, or healthcare operations is preferred. The ideal candidate has an heart for seniors, is organized, dependable, customer-service oriented, and comfortable wearing multiple hats.
Key Responsibilities
• Schedule Management: Create, update, and optimize caregiver schedules to meet client needs while balancing caregiver availability and travel time.
• Client Intake and Onboarding: Collect client information, verify care plans, and coordinate initial visits with caregivers and clinical staff.
• Caregiver Coordination: Recruit, onboard, and maintain rosters of caregivers; manage shift confirmations, time-off requests, and last-minute coverage.
• Communication: Serve as primary point of contact for clients, families, caregivers, and clinical staff; handle inquiries, changes, and escalations professionally and promptly.
• Documentation and Compliance: Maintain accurate records in the scheduling and EHR systems; ensure documentation meets regulatory and company standards.
• Quality Assurance: Monitor service delivery, collect feedback, and escalate issues to clinical leadership; support continuous improvement initiatives.
• Billing and Timekeeping Support: Verify caregiver time entries and assist billing team with discrepancies related to scheduling.
• Reporting: Produce regular reports on staffing levels, open shifts, overtime, and client satisfaction metrics.
• On‑call Rotation: Participate in after-hours on-call rotation to manage urgent scheduling needs and client emergencies.
